Data and privacy

Your data is yours. This page explains how to take everything with you, how long tickets are kept, and how to have an account or your whole workspace deleted.

Under Settings → Take your data you make a ZIP of spreadsheet files with everything your workspace keeps and reads from your web shop:

  • customers, with VAT number and payment terms;
  • orders and quotes, with their items;
  • products, drafts included;
  • tickets and every message in them;
  • invoices with payment and Peppol status.

The files are semicolon-separated CSV in UTF-8. They open straight in Excel, Numbers and Google Sheets.

  1. Go to Settings → Take your data.
  2. Click Make export.
  3. You see the steps go by: Customers, Orders, Products, Tickets, Invoices and Making the ZIP. For a large shop this takes a few minutes. Keep the page open.
  4. When the export is ready, the download starts by itself. Download again downloads it once more.

Under Settings → Security, in Data retention (GDPR), you set how long tickets are kept:

Setting Meaning Recommended
Archive after (days) After this many days a ticket is archived automatically. 365 (1 year)
Permanently delete after archiving (days) This many days after archiving, a ticket is permanently deleted. 730

You can choose a value between 30 and 3650 days. Click Save at the top. The deletion job runs every 24 hours. Changing this setting is possible for anyone with the right Settings: shop, e-mail, shipping, printers.

Every workspace has a privacy page at yourcompany.teamdock.ai/privacy, linked from the sign-in screen. It names your company as the data controller, with the name, email address and address you fill in under Settings → Account → Legal entity. See Company details.

Teamdock processes your customers’ data on your behalf. The data processing agreement (DPA) is at teamdock.ai/dpa. Teamdock’s own privacy policy is at teamdock.ai/privacy.

Having an account or your workspace deleted

Section titled “Having an account or your workspace deleted”

You make a request with the form at teamdock.ai/account-deletion. You fill in your workspace name and your email address and choose what you want deleted:

  • My account: Teamdock deletes what it keeps about you: your devices for notifications, your preferences, two-step verification, sessions and your personal mailbox connection. Your company’s administrator removes your login in WordPress; Teamdock tells that administrator about your request. Messages you wrote in tickets or chats belong to your company’s records and stay, unless your company deletes them.
  • The whole workspace (owner): only the owner can ask for this. Teamdock closes the workspace and deletes its data as described in the data processing agreement: the workspace’s database, files and backups within 31 days after the end of the subscription, and records in the shared system backups within a further 30 days.

Teamdock confirms every request by email before anything is deleted, and answers within 30 days.
